Your privacy is important. So do we and that is why we provide transparent information

about what data we collect about you, how this data is used and with whom the data is shared.

 

The contact details that you provide to us in the contact form are used to process your question and to contact you; and when booking to plan the further course of the appointment.


We will not use this data for marketing purposes without your permission.

 

When you subscribe to our newsletter, we will of course save your email address to send you the newsletter or related marketing messages.  We are committed to offering you the opportunity to unsubscribe with each of these messages.

 

If you subscribe to the blog you will receive email notifications about new posts and updates. You will receive a personal login. This will be confirmed by email.

Where is data stored?

This website uses the services of web provider Wix. Wix.com is an international provider of web services and infrastructure for creating and managing websites, and related services. Wix.com Ltd. is located in Israel, a country that, according to the European Commission, guarantees an adequate level of protection of personal data of citizens of the European Union.  Wix.com stores data in data centers in Europe, the U.S. and Israel.  At this time we do not have the option to limit the storage and processing of data to the E.U.

 

Wix.com guarantees its users to take good care of the data of its users' users. You can read their full privacy policy on their website (https://nl.wix.com/about/privacy)

 

We use various services for our newsletters, including Mailchimp and GetResponse.  Your address details are therefore stored on their servers for the entire duration during which we use their services. Both companies have a solid reputation in the field of marketing applications and very complete privacy policies that you can read on their websites. Because we want the freedom to change service providers, we also keep an archive of all our marketing addresses. We do this in our office environment within Microsoft's Office365 cloud environment.

 

Wix, and the other service providers mentioned, cannot exercise any right to use the data stored on their systems themselves or make them available to other parties in any way, and also make very strict agreements about this in their legal agreements with their customers and users.

Customer file

​

As soon as an agreement is concluded with Ontocratos, we keep an individual file.  The patient file is maintained on our office systems and largely on paper.  The file contains the following data: first and last name, date of birth, place of birth, address details, telephone number, e-mail address, other personal data that you actively provide, for example by creating a profile on the website, for a booking of a service, in correspondence and by telephone.

Special and sensitive data that we process: given the nature of our services, we only process special or sensitive personal data in connection with your health.    This concerns information that you provide to your therapist at the start or during the course of the treatment.

How long do we keep your data?

We keep contact information for as long as we need it to reasonably provide services and information, and carry out our treatments.   Individual data in a customer file will be kept for a maximum of 36 months after the last appointment.

Name, address, e-mail are part of the customer file and are purely administrative data that we keep for 10 years after closing a file, or longer if accounting, tax or other obligations require it.

If you have given permission to use your data for contact purposes and in the context of our own marketing campaigns, blog posts, etc., we will retain your basic contact details until you expressly let us know that you would prefer not to be contacted anymore, or unsubscribe via the functions provided for this purpose. provided with each message.

Right to access and control your personal data.

In the context of the GDPR legislation, you have the option at any time to know what data we have, or you can request that data be deleted and forgotten.

 

Send us an email (info@ontocratos.be) if you want to know what data we have and keep. You can subsequently ask us to change or correct that data.  Or, if necessary, delete all or part of the data.  

 

Is your data shared with others?

No, we do not actively pass on data to third parties or friendly companies.   If we want to do this in the future, we will in any case first ask your explicit permission.

 

With the exception of the parties mentioned in this document and therefore operational in the role of data processors.

 

Is entering data on the site safe  ?

The entire website and functionalities we use only use a secure HTTPS connection so that the data you enter cannot be intercepted. You can see this by the lock or other indication in the address field of your web browser.

Your own responsibility 

When you become a member of our blog, you create a profile for which you can log in with a login and password of your choice. It is your responsibility to keep these login details and use them with due care.  The combination is personal and may not be communicated or made known to others.

COOKIES

Not everyone likes cookies.  That is why you can read below which small text files (cookies), pixels and pieces of program code we use and what we use them for.

We use a cookie banner that allows you to determine in advance which cookies you want to accept or refuse, as prescribed by GDPR regulations.  You will see this banner when you first use the website and you can specify your preferences there.  
You cannot disable strictly necessary cookies because they relate to the basic functionality of our website or to security.

You can either accept or refuse the other cookies. If you refuse cookies, certain parts of the site may not work properly, your preferences may not be remembered, or the web quality may not be optimal.

All our cookies only collect anonymous data.  Your IP address is anonymized, as they say. 

 

Functional Cookies

Session cookies: these remember data for the duration of your visit and are deleted after the session. This way, for example, you will not lose (partially) completed data on the contact form if you reload the page or do not fill in everything immediately.

 

Permanent cookies: based on this cookie, we know when you visit our website multiple times. This information is useful to us, because we would of course like to know whether you will come back and are interested in what we offer.

 

Analytics Cookies

We use cookies from various Google products and an analysis tool from Wix. These analyze how you use our website. This way we know which pages you visit, how long you continue reading, and how you surf through the site. This data is important to improve our site and add useful information.   

 

Google does not have permission to use the Analytics information in any way to offer other Google services.

Marketing Cookies

We also place advertisements ourselves, among others. Google and Facebook,  and would like to know whether those advertisements result in a visit to our website or other action. Based on these cookies we recognize your visit and measure the extent to which our advertisements meet what our visitors are looking for. 

 

Based on Remarketing cookies we can identify you as a visitor to our website and we know which services you are interested in. We then use this information to define the target group for our own advertising campaigns on Google and its partner network and on Facebook and to ensure that you see our advertisements.  Both sites use techniques to expand this target group to users with a similar profile, so you can also see advertisements based on target group expansion.

 

A common misunderstanding is that cookies overload you with advertising banners.  That's not right, you won't see any more advertisements. More relevant campaign material because it is linked to your personal interests.  That is a unique advantage that digital media can offer, precisely based on cookies and related technologies. Without these tools, you will see more random advertisements that are less relevant to your needs, and more money will be lost in useless marketing expenses.

 

Which cookies are used? 

When you click on preferences on the cookie banner on your first visit, you can read under the relevant cookie category which cookies we serve and what they are used for. You can then choose to accept or reject the category.

In any case, your preferences will be respected.  If you use the Chrome browser, you can easily check which cookies are active at any time by clicking on the lock in front of the URL in the address bar.  In Microsoft Edge, go to Settings and then click Cookies and Site Permissions.

Change your cookie preferences

You can change or view your cookie preferences later by clicking on the "Change cookie preference" button at the bottom right.  Alternatively, you can delete the cookies for our website in your web browser.  The next time you use it, you will see the selection bar again.
